Planning shows how much work your team has ahead and whether its capacity covers it.
Team workload and Team capacity come with the Business package. The pages under Planning are visible to members who can update projects.
Set your team’s capacity #
In the settings, open Team capacity:
- Holiday country: this country’s public holidays are days off for the team. A member can have their own.
- Members: set each person’s weekly hours and working days. The hours are spread evenly over the working days.
Changes save right away.
Add an absence #
In Preferences, under Absence, click Add absence. Choose the dates, type and length. Capacity drops to zero on these days, or by half for a half day.
Only you and administrators see the type and note. Others only see that you’re away. You can find a colleague’s absence next to their name in Team capacity.
Give tasks an estimate and a due date #
In a task, click + Add estimate and enter the time, for example 8, 1.5 or 1:30. The remaining work is then spread over the assignee’s working days up to the due date.
Check your team’s workload #
Under Planning, open Team workload. You see each member’s planned work against their capacity after holidays and absences.
- In Period, choose 6 weeks, 3 months or 6 months.
- Click a person’s week to see the tasks it’s made of.
- Watch the number of tasks without an estimate or due date, as they skew the result.
Book people in advance #
You can plan a person, or a role you’ve yet to fill, on a project before there are tasks. Under Planning, open Team plan and click Book. Choose the project, who will work on it, the dates and the hours.
- In the plan: drag a booking to move it, or drag its ends to change its dates. A week’s background shows how full the person is: green means full, orange means over.
- In workload and forecasts: the booking is counted. The person’s tasks on the project that week come off it.
- Tentative: use it for work that isn’t confirmed yet. It takes no capacity and stands apart in forecasts.
