Grants show how much of a grant a project has drawn, line by line, and when a report is due for the funder. They come with the Business package; members who can See amounts see them.
Turn the module on #
Grants are a module that starts switched off. Turn it on in Settings → Modules → Grants.
Add a grant #
Open Finance → Grants in the project’s settings and click New grant. A project can have more than one grant.
- The basics: the grant’s name, funder, contract number, amount and the period costs are eligible in.
- Budget lines: for each, pick what it draws on. Personnel draws on the cost of the time logged on the project in the grant’s period, at each member’s cost per hour. Expenses lines draw on the project expenses you put on them. If the lines add up to more than the grant, the dialog tells you.
- Reports for the funder: the report’s name, its due date and how many days ahead to remind.
Drawing #
Put an expense on a grant with Paid from grant in its dialog. The grant’s card then shows, for each line, what’s drawn, what’s left and what’s still planned. A line over its budget turns red.
Only members who can See profit see what personnel has drawn. Set members’ cost per hour in Settings → Rates → Hourly costs.
Reports and reminders #
As a report’s due date comes near, the people who manage the project’s budget get a notification. Reports due soon or late also show on Home under Needs attention. Once you’ve handed one in, click Handed in next to it.
Grants in timesheets and on mobile #
When you pick a project with a grant in the timesheets, the grant’s name, funder and contract number appear in the PDF’s heading. You can also view a project’s grants in the mobile app under the project’s settings; editing stays in the web app.
